Terms of Use

These terms apply when patients use the public booking flow and when approved staff use the Aloe Clinic back office.

1. Acceptance

By using this app, you agree to these terms and our Privacy Policy. If you do not agree, do not use the app.

If you use the app on behalf of another person or organisation, you confirm that you are authorised to do so.

2. What the app does

The app helps patients request and confirm appointment times with Aloe Clinic and helps authorised staff manage bookings, practitioner availability, and calendar synchronisation.

Public patients do not need an account. Staff access is restricted to approved clinic users who sign in with Google.

3. No medical advice or emergency care

This app is for appointment scheduling and clinic administration. It does not provide medical advice, diagnosis, treatment, triage, or emergency assistance. Using the app does not by itself create a practitioner-patient relationship.

If you have a medical emergency or urgent symptoms, contact emergency services or seek urgent medical care immediately.

4. Appointments

  • Available times are based on clinic working hours, local booking records, and connected practitioner calendars.
  • The clinic may decline, reschedule, cancel, or update an appointment where necessary.
  • A confirmed online booking does not guarantee that a practitioner will be available if events outside the clinic's control occur.
  • Any consultation, treatment, cancellation, no-show, or administrative fees are handled by the clinic and are not processed by this app in the current MVP.

5. Your responsibilities

  • Provide accurate booking and contact details.
  • Book only appointments you genuinely intend to attend.
  • Do not submit false, misleading, offensive, unlawful, or unnecessary medical information.
  • Do not use the app in a way that interferes with its operation or another person's use of it.
  • Do not attempt unauthorised access, probing, scraping, reverse engineering, credential abuse, or any other misuse of the app or its data.

6. Staff accounts

Staff accounts are for authorised clinic personnel only. Staff must use their own approved Google account, keep their account secure, and use patient information only for legitimate clinic purposes.

Aloe Clinic may suspend or remove staff access if a user leaves the clinic, changes role, misuses the system, or no longer requires access.

7. Privacy and patient information

Patient and staff information is handled as described in the Privacy Policy. Patients must give POPIA consent before confirming a public booking. Staff creating a manual booking must confirm that the patient's consent has been captured or that another lawful basis applies.

8. Third-party services

The app may depend on third-party services, including Google services for staff sign-in and practitioner calendar sync, and cloud providers for hosting and database storage. Those services may have their own terms, security controls, and availability limits.

9. Intellectual property

The app, design, software, text, workflows, and related materials are owned by Aloe Clinic or its licensors unless stated otherwise. You may use the app only for lawful appointment booking or authorised clinic administration. No rights are transferred to you except the limited permission needed to use the app for those purposes.

10. Changes and availability

Aloe Clinic may update the app or these terms from time to time. The app may be unavailable during maintenance, service outages, security work, or incidents involving third-party providers.

11. Liability

To the maximum extent allowed by law, Aloe Clinic is not liable for indirect loss, loss caused by inaccurate information supplied by a user, missed appointments caused by events outside the clinic's reasonable control, unauthorised account use, or third-party service failures. Nothing in these terms excludes liability that cannot be excluded under South African law.

12. Governing law

These terms are governed by the laws of the Republic of South Africa. Any dispute must be handled in South Africa unless applicable law requires another forum.
